Under data protection law, you have the right to be informed about how we use any personal data we hold about you.  We comply with this right by providing you with this privacy notice, which explains how we collect, store and use personal data about you.

The type of personal information we collect.

We currently collect and use the following information:

  • Name (including member, parent/guardian & emergency contact)

  • Contact details (including postal address, telephone & email)

  • Date of birth

  • Equality profile (which may include gender, disability & ethnicity)

  • Medical Information

  • Records of communications both from & to you

  • Accident & incident reports

  • Qualifications & awards

  • Attendance & performance information

  • Payment and transaction information

  • Identification documents such as passport, Driving license or birth certificate

  • CVs and references

  • Clothing sizes

  • Nationality

  • Details relating to criminal record checks

  • Details regarding concerns about your conduct including safeguarding and breaches of our rules

In some cases, we will be unable to provide our services unless you provide the requested information, but we will tell you at the point of collection if any of the information we are requesting is optional.

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Registering as a member or a parent/guardian of a member

  • Making payments

  • Applying for a job or role with HTA

We use the information that you have given us in order to:

  • Contact you for reasons such as, regarding your membership, advising of events or in case of emergency

  • Processing payments

  • Maintain records about things like attendance, performance or attainment of awards

  • Recruitment checks and procedures

We may need to share limited personal information with the following other organisations:

  • Statutory/regulatory authorities and other organisations

On occasion, it may be necessary to share information with bodies such as British Gymnastics, the Health & Safety Executive (HSE), Information Commissioner's Office (ICO), Disclosure and Barring Service (DBS), NSPCC, Police or Children's/Adult's services. We may also share information with other organisations to safeguard children or adults at risk. Any information that is shared will be strictly limited to what is required to ensure children are protected from harm and will be carried out in accordance with the law and relevant government guidance.

 

External service providers who are contracted to provide specific services on our behalf

We use the services of third-party providers to help us in areas such as:

In some cases, we may be required to share your personal information, such as your contact details with the external provider. We limit the personal data that we share to the minimum required to provide the service and the provider will only be able to use personal data for the specific purposes for which it was shared. If we stop using the service, we will ensure your data is deleted or securely returned to us.

 

 Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Huddersfield Trampoline Academy

(b) We have a contractual obligation. To provide all the services expected from our contract with our members and employees.

(c) We have a legal obligation.  To ensure we comply with our legal obligations for example, Safeguarding, Health & Safety and HMRC.

(d) We have a vital interest. In circumstances that are essential in someone’s life e.g. in a medical emergency, disclosing medical information where the individual is incapable of giving their consent.

(e) We have a legitimate interest.  In circumstances such as fraud prevention, IT security, or disclosing information about possible criminal acts.

How we store your personal information

Our Records Management Policy sets out how we keep your personal information whilst you are a member of HTA.  We may also keep it beyond that membership if this is necessary for us to comply with our legal obligations.  Our record management policy sets out how long we may keep this information.  A copy of this policy is on our website.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
